Your Privacy
We are a provider of cloud-based document processing services. We understand the importance of, and are committed to, protecting your Personal Information. This Privacy Policy explains how we manage and Process your Personal Information, including our obligations and your rights in respect of our dealings with your Personal Information.
In this Privacy Policy, unless otherwise specified:
(a) APPs means the Australian Privacy Principles in the Privacy Act.
(b) Personal Information means information or an opinion, whether true or not, about an individual who is identified or is reasonably identifiable, and includes 'personal information' or 'personal data' under relevant Privacy Laws.
(c) Privacy Act means the Privacy Act 1988 (Cth).
(d) Privacy Law means the Privacy Act, the APPs, and any other legislation that may apply to the manner in which we collect, hold, use and disclose Personal Information.
(e) Processing includes collecting, holding, using and disclosing Personal Information, and includes any steps defined as 'processing' in any relevant Privacy Law.
(f) Sensitive Information is a special category of Personal Information, including Personal Information about matters such as race, religion, health and sexuality, and includes 'sensitive information' as defined in the Privacy Act, and 'sensitive information' or any 'special category data' as defined in a Privacy Law.

Please take a moment to read our Privacy Policy as it describes what happens to your Personal Information that is Processed in the course of our business, including via our websites at docmesh.com and meshedup.com (Websites).

How we collect your Personal Information
We will collect and hold your Personal Information in a fair and lawful manner, and not in an intrusive way. Where it is reasonably practical to do so, we will collect your Personal Information directly from you. We may collect the Personal Information you directly give us through some of the following means:
(a) when you use our products;
(b) when you make an inquiry through our Website, or otherwise correspond with us or contact us;
(c) through any software applications provided by our organisation;
(d) if you submit a form to sign up to our mailing list;
(e) when you engage with our staff at any of our premises;
(f) if you enter any competitions that we conduct;
(g) if you attend or otherwise participate in any events that we stage;
(h) while conducting customer satisfaction and market research surveys; and
(i) where we otherwise deal with you in the course of our business.
However, in certain cases we may collect Personal Information from third parties.
- Our products allow users to submit documents for analysis by our systems. We may accordingly collect Personal Information from third party users, where a user submits documents to us which contain Personal Information about you.
- Our technology may also be incorporated into third party products. If you use those third party products, we may receive Personal Information about you from the vendors of those products.
In these instances, our Processing of Personal Information is on behalf of these third parties, who act as controller of the relevant Personal Information. We will only Process this Personal Information as directed by that controller, and will seek warranties from that controller that they are entitled to disclose your Personal Information to us, and that we are entitled to Process your Personal Information in the manner directed.
There may also be other instances where we collect Personal Information from publicly available sources and other third parties, such as suppliers, recruitment agencies, contractors, our clients and business partners.
If we collect Personal Information about you from a third party we will, where appropriate, request that the third party inform you that we are holding such information, how we will use and disclose it, and that you may contact us to gain access to and correct and update the information.

Types of Personal Information we collect
The type of Personal Information we may collect can include (but is not limited to), your name, postal address, email address, phone numbers, billing information, technical data, data about communications you send to us, data about any support we provide you, data you input into our services, and, if applicable, employment information.
Where your Personal Information is provided to us as part of documentation processed by our technologies, the nature of any such Personal Information will be dictated by the content of those documents.
While we do not generally seek to collect Sensitive Information about you, there may be instances where the documents we process on behalf of our clients contain your Sensitive Information.
If collection of Sensitive Information is reasonably necessary for one or more of our functions or activities, we will only collect Sensitive Information about you with your consent, or otherwise in accordance with Privacy Law.
Where you do not wish to provide us with your Personal Information, we may not be able to provide you with our products, or our products may not function fully.

Our purposes for Processing your Personal Information
As a general rule, we only Process Personal Information for purposes that would be considered relevant and reasonable in the circumstances. Depending on our purpose for collecting your personal data, we rely on one or more of the following legal bases:
(a) Performance of a contract: we require certain personal data in order to provide services you purchase or request from us (or from a third party that has an arrangement with us), and which we have agreed to provide, under a contract;
(b) Consent: in certain circumstances: we may ask for your consent (separately from any contract between us) before we collect, use, or disclose your personal data, in which case you can voluntarily choose to give or deny your consent. Where we rely on your consent as the legal basis for our Processing, you may withdraw your consent at any time by using the contact details provided in section 12. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal data conducted in reliance on lawful processing grounds other than consent;
(c) Compliance with our legal obligations: there may be instances where we must collect, store, process, or disclose your personal data to comply with our legal obligations; and
(d) Legitimate interests: we may use or disclose your Personal Information for our legitimate business interests. Where we need to process your data to pursue our legitimate interests, it will be in a way which is reasonable for you to expect as part of the running of our business and which does not materially affect your rights and freedoms.
We Process Personal Information to:
(a) operate our products and technologies;
(b) manage and administer those products, including account keeping procedures;
(c) promote our products and technologies;
(d) communicate with you, including (but not limited to), emailing you tax invoices, dispatch and tracking information, returns and exchange authorisations, and marketing;
(e) comply with our legal and regulatory obligations
(f) developing and improving our goods and services; and
(g) otherwise manage our business.
We may disclose Personal Information between our organisations or to third parties such as our suppliers, organisations that provide us with technical and support services, or our professional advisors, where permitted by Privacy Law.
In the course of operating our document processing services, we may also disclose Personal Information about you to our clients, where it forms part of the output of those processing services. For example, if a client provides with a number of documents which contain your Personal Information, we may, as part of our service, produce a summary of those documents (and that summary may contain your Personal Information) and disclose that to our client.
If we disclose information to a third party, we generally require that the third party protect your information to the same extent that we do.
We will not use or disclose your Personal Information for any other purpose unless you have consented to that use or disclosure, or the relevant use or disclosure is otherwise permitted by relevant Privacy Law or some other law.

Protection of Personal Information
We will hold Personal Information as either secure physical records, electronically on our intranet system, in cloud storage, and in some cases, records on third party servers, which may be located in Australia or abroad.
We maintain appropriate physical, procedural and technical security for our offices and information storage facilities so as to prevent any loss, misuse, unauthorised access, disclosure, or modification of Personal Information. This also applies to disposal of Personal Information.
We further protect Personal Information by restricting access to Personal Information to only those who need access to the Personal Information do their job. Physical, electronic and managerial procedures have been employed to safeguard the security and integrity of your Personal Information.

Retention of Personal Information
We do not retain Personal Information where we are no longer permitted to do so under applicable Privacy Laws.
We may retain Personal Information:
(a) where we continue to have a valid purpose for Processing that Personal Information under applicable Privacy Laws; or
(b) where we are required to so under some other law, or a court or tribunal order.
We will take all reasonable steps in the circumstances to ensure that, when we are no longer permitted to retain your Personal Information, your Personal Information is destroyed or de-identified in accordance with the standards in any applicable Privacy Laws.

Direct marketing
Like most businesses, marketing is important to our continued success. We believe we have a unique range of products and services that we provide to customers at a high standard. We therefore like to stay in touch with customers and let them know about new opportunities. We may provide you with information about new products, services and promotions either from us, or from third parties which may be of interest to you.
Provided that you have not unsubscribed or otherwise opted out, we may use your Personal Information for direct marketing:
(a) where you have agreed to receive direct marketing from us; or
(b) where you have engaged with us directly, and we believe that you would reasonably expect to receive direct marketing from us.
We may utilise the services of third parties to assist us with undertaking our direct marketing activities. We will not otherwise disclose your Personal Information to third parties for marketing purposes without your consent.
You may opt out at any time if you no longer wish to receive commercial messages from us. You can make this request by contacting our Privacy Officer.
Note that if you opt-out of direct marketing messages from us, we may still communicate with you from time to time for other purposes, including where we:
(c) respond to any correspondence you send us;
(d) provide you with invoices or updates in respect of any orders you have placed with us;
(e) engage with our contractors and suppliers; or
(f) are legally required to provide you with notice of certain matters.

Cookies
A cookie is a small text file stored in your computer’s memory or on your hard disk for a pre-defined period of time. We use cookies to identify specific machines in order to collect aggregate information on how visitors are experiencing our Websites. This information will help to better adapt our Websites to suit personal requirements. For information on cookie settings of your internet browser, please refer to your browser’s manual.

Your rights
You may contact our Privacy Officer to request access to the Personal Information that we hold about you and/or to make corrections to that information, at any time. We will provide you with suitable means of accessing your Personal Information and may seek to recover from you reasonable costs incurred for providing you with access to any of the Personal Information about you held by us. We will not charge you for simply making the request and will not charge for us making any corrections to your Personal Information.
We may refuse to grant you access to the Personal Information we hold for valid reasons such as granting you access would interfere with the privacy of others or if would result in a breach of confidentiality or legal professional privilege. On the rare occasions when we refuse access, we will provide you with a written notice stating our reasons for refusing access.
We are not obliged to correct any of your Personal Information if it does not agree that it requires correction and may refuse to do so. If we refuse a correction request, we will provide you with a written notice stating our reasons for refusing.
If we refuse to correct your Personal Information, then you can ask that we add a note to the Personal Information that we hold stating that you disagree with it.
If you are subject to a Privacy Law that gives you a right to erasure, then you may contact our Privacy Officer to request deletion of any Personal Information that we hold about you. We will delete this Personal Information when doing so would be in accordance with the Privacy Law, such as when we are not under a legal obligation to retain your Personal Information.
If provided for in an applicable Privacy Law, you may also be entitled to object to processing of your personal data, ask us to restrict processing of your personal data, or request portability of your personal data (i.e. your data to be transferred in a readable and standardised format).
We will respond to all requests to exercise any of your rights within a reasonable time.

International transfers of Personal Information
As at the date of this Privacy Policy we are not likely to disclose Personal Information to overseas service providers, but we may do so in the future where permitted under the Privacy Act.
Where our clients are located outside of Australia, we may also disclose Personal Information to them in the countries in which they are based.
As at the date of this Privacy Policy, we are not likely to disclose Personal Information to other overseas recipients. If in future we do propose to disclose Personal Information overseas, we will do so in compliance with the requirements of the Privacy Act. We will, where practicable, advise you of the countries in which any overseas recipients are likely to be located.
By providing your Personal Information to us, you consent to us disclosing your Personal Information to any such overseas recipients for purposes necessary or useful in the course of operating our business, and agree that APP 8.1 will not apply to such disclosures. For the avoidance of doubt, in the event that an overseas recipient breaches the Australian Privacy Principles, that entity will not be bound by, and you will not be able seek redress under, the Act.

Personal Information about employees
We may collect Personal Information about our employees and prospective employees, as part of their application and during the course of their employment, either from them or in some cases from third parties such as recruitment agencies.
This may include Personal Information about the employee’s health, their right to work in Australia, or other Sensitive Information. For some roles, employees may need to obtain a security clearance or provide a criminal history search.
Under the Privacy Act, Personal Information about our current or former employees may be held, used or disclosed by us in any way that is directly connected to the employment relationship. We handle Personal Information about our employees in accordance with legal requirements and our applicable policies in force from time to time.

Changes
We reserve the right to change the terms of this Privacy Policy from time to time, without notice to you unless such notice or consent is required under the Privacy Laws. An up-to-date copy of our Privacy Policy is available on our Websites.
